SILENT AUCTION PROCEDURES AND SCHEDULE - 2018 NMRA CONVENTION, KANSAS CITY

Our goal is to provide an enjoyable and rewarding silent auction experience for both sellers AND buyers (and auction volunteers)! To that end, please read and understand these silent auction guidelines:

OVERVIEW
  • Silent auctions are auctions held without an auctioneer. People place their bids on bid forms that contain a description of the item, sellers number, and initial bid. 
  • To bid, a person adds their bid and number.  The winning bidder is the last one listed on the bid form.  At the end of the bidding, bid forms and items are sorted by number and the winning bids are added to our computer data base. 
  • The winners will be posted by Thursday morning (by number) and will be able to pick up their winning items (and items not sold) after settling their account. 
  • If the winning person also had items in the auction that sold, the settlement will include items sold and purchased to determine the amount owed or the amount we need to pay them.
  • Any items sold will be charged a 15% commission, paid by the seller. 
  • The items will be placed on tables with a letter designation so that if you want to track your bidding, you can note the item number and table letter.

BUY IT NOW
  • We will have a separate “Buy it Now” area for items that the Seller wants to sell at a pre-determined price. 
  • The table will have separate tickets and will be handled by a cashier that will accept cash or credit cards (Visa, MasterCard, and PayPal).
  • A buyer can purchase a Buy It Now item at any time during the active auction - a cashier will be available during active auction hours to complete your purchase.

MINIMUM STARTING PRICES AND BID INCREMENTS
  • We will have a traditional Silent Auction with a minimum Starting Bid of $10 and incremental bids of dollar amounts (no change).
  • The minimum price for Buy it Now items will be $10, so sellers, package your items accordingly.
  • If you have small or low cost items, package them up to be sold using the above parameters  (No $1.00 packages).

CHECKING IN ITEMS
  • Early item pre-registration is available and encouraged. Information regarding the on-line registration will be posted on the web site when it is available.
  • During convention week, those sellers with pre-registered items will have an expedited check-in process (similar to the first-class line at the airport check-in). So plan accordingly.
  • Sellers registering items at the door can register up to ten (10) items at a time, then they must recycle to the back of the queue. This prevents a Seller with MANY items from bringing the check-in process to its knees.
  • Seller is responsible to provide accurate descriptions of all items (running condition).
  • It is important that you provide your cell phone on the seller sheet, so that we can contact you during the convention, if needed.

BIDDING

  • Your convention badge number is your bid number.
  • The minimum incremental bid is one dollar ($1)
  • Bidders/browsers must drop bags/purses/convention totes at the front door bag-check area
  • Bidders caught hiding items, or otherwise gaming the system will have their badge/bid number revoked, and all bids from that person will be voided.
  • Unruly behavior in the auction area is discouraged. Bringing snacks for the auction volunteers is encouraged.
  • Near the auction ending time, several announcements will be made stating that the auction will be closing soon. Tables will be closed in groups at the discretion of the Auction Chairman.
  • At auction closing, all bidders must leave the silent auction room
  • Bid early and bid often!

PICK UP, SETTLEMENT, AND PAYMENT
  • Silent auction results will be posted as soon as possible after auction closing.
  • Winning bidders will be posted by badge number with number of items won and amount owed
  • Payment of winnings is by cash or credit card ONLY. No checks for payment will be accepted.
  • Item pickup is often a stressful time for winning bidders, sellers, and auction volunteers. Please be nice to your fellow human beings.

PAYMENT TO SELLERS
  • Payment to sellers will be in the form of check from the Convention Account. This creates a paper trail and minimizes fraudulent non-payment claims.
  • All items sold are subject to a 15% commission
  • Seller will be provided with a seller summary, showing the purchase price of any items sold, the resultant commission for the auction, and the total paid to the seller.
  • Seller is responsible for the collection and disposition of any unsold items.
  • All items left after Friday at 12:01 pm will become the property of the Convention Committee unless prior arrangements are made.

Thursday August 9

  • 6:00PM – 9:00PM  Settlement continues. Purchasers and Sellers
Friday August 10
